1. Who we are

LessMeet is operated by Bilal Einar Hijazi (trading as LessMeet), based in Norway. We are the data controller for personal data processed through this website and product. Contact: privacy@lessmeet.com.

2. What we collect and why

  • Account data (name, email, login credentials, organisation) — to create and secure your account. Legal basis: performance of a contract.
  • Team roster data you enter or import (colleague names, emails, roles, departments) — to recommend attendees. Legal basis: our and your legitimate interests in operating the service; you are responsible for having a lawful basis to share colleagues' details with us.
  • Meeting content (topics, context, duration, evaluations, outcomes) — to generate necessity scores and dashboards. Legal basis: performance of a contract.
  • Calendar connection data, where you connect Google or Microsoft — to read the details you choose to import. Legal basis: your consent, withdrawable by disconnecting.
  • Usage and technical data (device and browser information, IP address, log and telemetry data) — for security, fraud prevention, debugging and product improvement. Legal basis: legitimate interests.
  • Support messages — to answer your questions. Legal basis: legitimate interests.
  • Marketing emails, where you opt in — legal basis: consent, withdrawable at any time.

3. Who we share data with

  • Service providers / subprocessors: hosting and database providers, AI model providers that process meeting text to generate evaluations, email delivery, and error monitoring.
  • Paddle.com, our Merchant of Record, for the sale of subscriptions, subscription management, payments, tax compliance and invoicing.
  • Professional advisers (legal, accounting) where necessary.
  • Authorities where we are required to disclose by law.

We do not sell personal data.

4. International transfers

Some of our providers are located outside the EEA/UK, including the United States. Where data leaves the EEA/UK we rely on adequacy decisions or the European Commission's Standard Contractual Clauses together with appropriate technical safeguards.

5. Retention

We keep account and meeting data for as long as your account is active and for up to 12 months after closure, unless a longer period is required for legal, tax or accounting purposes (invoicing records are typically kept for 5 years). After that, data is deleted or anonymised. You can request earlier deletion at any time.

6. Your rights

Under the GDPR and Norwegian data protection law you have the right to access, rectification, erasure, restriction, data portability, objection to processing based on legitimate interests, and withdrawal of consent at any time. Contact privacy@lessmeet.com and we will respond within one month. You may also lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet) or your local supervisory authority.

7. Security

We apply appropriate technical and organisational measures, including encryption in transit and at rest, row-level access controls in our database, least-privilege access for administrators, and regular dependency and security scanning.

8. Cookies

We use essential cookies only: a session cookie that keeps you signed in and one that remembers site access. These are required for the site to function and cannot be switched off. We do not use advertising cookies. If we add analytics or marketing cookies in future, we will ask for your consent first and provide a preference control here. You can clear or block cookies in your browser settings, though signing in will then not work.

We may update this notice. Material changes will be announced in-app or by email. See also our Terms of Service.
